This privacy statement describes how Animal Dental Chart Inc. ("ADC", “We”, “us”) collects and uses the Practice registration information that you willingly provide on our website for our application, animaldentalchart.com.

 

This is information, some of which may not be available to the public, that you willing provide to ADC in order to use and pay for your subscription services for our application, Animal Dental Chart. This privacy statement also describes how you can update this information.

 

The following statement also describes how your Practice data created when using Animal Dental Chart is kept secure with two-way encryption of data transfer and the use of enterprise class servers.

Collection and Use of Practice Registration Information and Practice Data

In order to register your Practice for using our Animal Dental Chart application, we collect Practice registration information from you. For all users, this information may include but is not limited to, the Practice Director’s Name, Practice Name, Practice Address, Practice Director E-mail Address, Practice E-mail Address, Phone Number, and Veterinary Licensing Body Link.

 

When using the Animal Dental Chart application, we also collect additional Practice Directors’ Names as applicable, additional Practice Directors’ E-mail Addresses as applicable, Practice Veterinarian Names as applicable, Practice Veterinarian E-mail Addresses as applicable, Veterinary Technician Names, Veterinary Technician E-mail Addresses, Receptionist Names, Receptionist E-mail Addresses, Client Names, Client E-mail Addresses, Referring Veterinarian Names as applicable, and Referring Veterinarian E-mail Addresses as applicable.

 

We use this information to:

• Register your Practice to use our Animal Dental Chart application
• Send you a Welcome e-mail with registration confirmation and information to install and    set-up our Animal Dental Chart application
• Allow you to run our Animal Dental Chart application for your Practice on our servers
• Support our Animal Dental Chart application for your Practice
• Give feedback on updates and improvements to our Animal Dental Chart application

Electronic Information We Gather

We automatically gather information about your Practice computers or devices using the Animal Dental Chart application such as each computer or device name and the version of Animal Dental Chart installed. This is used in running our Animal Dental Chart application.

 

Choice/Opt-Out of Animal Dental Chart

You may choose to opt-out of using our Animal Dental Chart application at any time by contacting us at support@animaldentalchart.com. We can arrange to export your Practice data to another practice management application vendor. Of course, there would be a fee for this service.

 

Information Sharing

We will share your Practice registration information and Practice data with third parties only in the ways that are described in this privacy statement. We do not sell your Practice registration information or Practice data to third parties.

 

We provide your Practice registration information to PayPal® that hosts payment processing for your subscriptions. This company is authorized to use your Practice registration information only as necessary to provide this service to us.

 

We may also disclose your Practice registration information and Practice data as required by law such as to comply with a subpoena or similar legal process investigating fraud or investigating a complaint of professional misconduct by a veterinary licencing body.

 

If ADC is involved in a merger, acquisition, or sale of all or a portion of its assets, you will be notified via e-mail and/or a prominent notice on our ADC application of any change in ownership or uses of your Practice registration information and Practice data by a third party. You will be given choices for the transfer of your Practice registration information and Practice data in order to give prior consent.

 

To protect against fraud and misuse of our subscription services, we actively analyze each registration application and use of our subscription services to help us identify and block individuals suspected of misuse and/or fraudulent activity.

 

We may use that information, in conjunction with our IT team and/or law enforcement to protect ADC’s business, and all of the Practice registration information and Practice data on our servers. We may share data (including, but not limited to, suspect Practice names and addresses, e-mail addresses, phone numbers, IP addresses, etc.) with our payment processor and law enforcement, in an effort to reduce fraud. You consent to the provision of this information (including keyword search data) for such investigative purposes.

 

Third Party E-Commerce Solutions Provider

Your subscription to Animal Dental Chart interacts with PayPal®, an established PCI-DSS compliant third-party payment processing vendor via SSL links. This vendor hosts and collects your payment information for the purpose of processing your subscriptions to the Animal Dental Chart application. We encourage you to read the privacy statement and security policies for PayPal® before providing your payment information.

 

We use this vendor to manage processing of payments, refunds, and updates of credit card numbers and expiration dates. We do not store credit card numbers and expiration dates for the Animal Dental Chart subscriptions on our servers.

 

Third parties are never allowed to mine or scrape your Practice registration information or Practice data, as these are kept private on enterprise class servers with world class data security.

 

Cookies and Other Tracking Technologies

To prevent a potential privacy concern, we do not use cookies to track your previously entered Practice registration information on our website.

Our site does include links to other websites whose privacy practices may differ from those of ADC. If you submit Information to any of those sites, your information is governed by their privacy policies. We encourage you to carefully read the privacy policies of any website you visit.

 

Security

When we collect Practice registration information and send and receive Practice data, it is two-way encrypted using world class data encryption, so that it would be virtually impossible for data to be read if it was ever intercepted over the internet.

 

As for major banks, all of your Practice registration information and Practice data is kept on enterprise class, co-location servers with the world class data security. Data is backed up daily at two separate locations each with high level biometric security to protect against catastrophic failure such as a fire, floods, or a terrorist attack.

 

Access to your data is protected via login credentials that are forced to be random. This prevents "bots" which are computers infected with malware without the users' knowledge and controlled by cybercriminals from guessing passwords by performing verb and numeric based attacks. Additionally, after 5 invalid attempts, access is suspended based upon the IP address of the offender. In summary, if external “bots” attempt to guess passwords to gain access, they will be banned by a commercial firewall.

 

In regards to the data itself, all passwords are security "hashed", meaning they are never exposed.  So even if someone did hack into your local network, they could not gain access to your data on the Animal Dental Chart application.
